Salesbot triggers

April 26, 2023

Triggers act as the first input that kicks off the automation process. With a variety of triggers available, Kommo offers a range of options to help you automate your workflows and save you a lot of time.

In this article, you will learn about:

There are several types of triggers that you can make use of to automatically launch your bots. You can set up triggers in your digital pipeline or in the Salesbots section by heading to Chats > gear icon > Templates & Bots. Just click the plus (+) button next to the name of the bot to add or configure the triggers.

Note: Make sure that you have connected at least one messenger channel to be able to send messages via bots.

Triggers here are divided into three sections: ‘When this happens’,’ For all leads with’ and ‘Active hours’.

Let’s discuss the ‘When this happens’ section. This section includes several types of triggers.

Pipeline triggers

This trigger allows you to launch bots based on the lead stage in your Pipeline. You have following options to choose from:

  • Immediately (now / after 5 min / after 10 min / after 1 day / select interval) when created in a pipeline stage - When a new lead is created in a chosen pipeline stage, the bot starts working for that lead.
  • Immediately (now / after 5 min / after 10 min / after 1 day / select interval) moved to a pipeline stage - When a lead is moved to a chosen pipeline stage, the bot starts working for that lead.
  • Immediately (now / after 5 min / after 10 min / after 1 day / select interval) moved or created in a pipeline stage - The bot starts working for that lead when the lead is created or moved to a chosen pipeline stage.
  • When the responsible user is changed - The bot is launched automatically for the lead when the responsible user of that lead is changed.

If you decide to go with ‘when created in a pipeline stage’ and ‘when moved to a pipeline stage’ triggers, you also need to choose the pipeline and pipeline stages that these rules should apply to.

Scheduled triggers

With this trigger, you can choose to launch the bot at a specific time.

  • On ‘date’ at ‘time’ - Your bot will be activated at the exact time and day you choose. It helps you to schedule your messages.
  • Daily (Once a week / Once a month / Once a year) at ‘time’ - This trigger allows you to launch your salesbot regularly at a chosen frequency and time.

After choosing one of these triggers, you will need to select what pipeline and pipeline stage the rules should apply for. Additionally, you can narrow down your audience further by applying other triggers.

Behavior-based triggers

This trigger allows you to launch your bot when an action takes place. You can choose to launch them on the following actions:

  • When a form is submitted - The bot is activated when someone submits the Kommo form. The form can be created on a Digital pipeline stage or inside a Salesbot as a step.
  • When an email is received - The bot will be activated for the user who sends you an email.
  • When a call is received - The bot will be activated for the user who calls you.
  • Immediately (now / after 5 min / after 10 min / after 1 day / select interval) when selected website visited - Immediately a customer visits the website, the bot will be launched as you have indicated.

When you choose the trigger, a new modal window will appear. You need to enter one or several URLs that need to be detected. You can also choose to record all pages by ticking the checkbox.

When ready, just get the code on the right side of the window and paste it on your website.

Conversational triggers

This trigger launches your bot when a specific action happens in your chat. You can choose to launch your bot:

  • When a conversation is started by an incoming (outgoing / any) message in any channel ( or the channels you select) - When a conversation is started in any channel or the channels you specified, the bot starts working for that conversation.
  • When an incoming / outgoing message arrives after one day (10 min/ 5 min/ selected interval) in any channel (or the channels you select) - The bot starts working for the leads, that has an incoming or outgoing message arriving after specified time in selected channels.
  • When an outgoing message is seen in any channel (or the channels you select) 24 h. (10 min / 5 min / Select interval HH.MM) - When the message you send is read in your selected channels within the selected time period, the bot starts working for the leads that fall under this rule.
  • Immediately (5 min / 10 min / One day / select interval HH.MM) after a conversation is closed any channel (or the channels you select) - When a conversation is closed in channels you identified, the bot starts working. For example, you can choose to launch ‘Assess the work of the support team’ bot every time a conversation is closed.

General triggers

Once you have chosen one of the triggers from the ‘When this happens field’, you can apply additional rules to specify the audience that the bot should work for.

In the "For a lead with" field, you can choose different options like:

  • Lead stage
  • Leads with specific tags, or
  • Leads with a specific field

For example, I can choose leads based in New York City and with a VIP tag. This way your bot will work only for the leads that meet the criteria.

In the "Active hours" option you can decide when your bot should be active. You can choose the ‘Always’ option to keep your bot active 24/7 or set specific times. For example, for when you are away from the office and need someone to reply to incoming requests, you can set your bot to be active during those times.

You can also specify whether the Salesbot's replies should be marked as unanswered. This way, you can ensure that you do not miss important messages.
