Manage appointments in Kommo

What you’ll need:

  • Any Kommo plan (Base, Advanced, Pro, Enterprise, or 14-day trial).
  • Admin access in Kommo.

Keep in mind:

  • Only users with the Admin role can set up schedule and appointment types.
  • Notifications to leads can be sent only via Salesbot.

In this guide, you will learn how to manage appointments in Kommo:

View appointments in different formats

In Kommo, appointments are available in three formats: Board, List, and Calendar:

  • Board: Shows appointment progress by stages (Overdue, Today, Tomorrow, Next week). You can move appointments between stages using drag and drop.
  • List: Displays all appointments and their details in one place and allows you to edit them in bulk (mark as complete, reschedule, cancel, or delete).
  • Calendar: Provides a clear overview of appointment timing and availability.

Note: You can also access individual appointments in the chat with the lead.

Create appointments

  1. Open Calendar. → Click + New event.

  1. In the event modal, select Appointment.

  1. Enter the lead’s name. If the lead already exists, it will be suggested automatically.

If the client is new, Kommo will suggest adding them as a new lead:

Once you click +Create a new lead, it will be added to the leads list.

  1. Choose the appointment type by clicking it and selecting one from the dropdown.

  1. Click Select day and time of the appointment. → Select the time slot.

  1. Click Set.

The appointment will be displayed in the calendar:

Note: Appointments in Kommo cannot overlap. However, tasks can overlap with appointments.

Reschedule appointments

  1. Open Calendar. Click the appointment you want to reschedule. The lead card will open.

  1. Click three dots (...) → Edit.

  1. Click the date and time field.

  1. Select the new date and time for the appointment. → Click Save.

The new date and time will be displayed in the lead card.

Tip: You can also simply drag and drop the appointment to the new timeslot directly in the calendar.

Cancel appointments

  1. Open Calendar. Click the appointment you want to cancel. The lead card will open.

  1. Click three dots (...) → Delete.

  1. Confirm the cancellation by selecting Delete.

You will see a success message confirming the action. The cancelled appointment will be removed from the lead card and the calendar.
