Calendly: How to connect Calendly with Kommo

Calendly is a software that helps you easily schedule meetings. Connect it with Kommo, and every time someone schedules a meeting with you, an automatic lead and a task will be created in your pipeline. Neat right? 🧐

Benefits of Calendly integration

  • Automatic lead capture: When someone schedules a meeting with you through Calendly, a new lead with a corresponding task is automatically created in your 'Incoming leads’ stage within Kommo.
  • Contact management: Accepting a new Calendly lead adds a new contact to the Lists > Contacts section of your Kommo account.
  • Task management: Simultaneously, a task associated with the Calendly meeting will be added to your Calendar section, ensuring you stay on top of your schedule.
  • Real-time dashboard updates: Your Dashboard will reflect the latest Calendly meetings by displaying them in the Active Leads and Tasks widget.
  • Activity log: Track all Calendly-related events and changes in the Stats > Activity Log section, allowing you to stay informed and organized.

Requirements to use Calendly integration in Kommo

To be able to use Calendly integration in Kommo, you need to have:

  1. A Kommo account with any paid plan or a free trial account. But once the trial period ends, you’ll need to buy a Kommo subscription to continue using it.
  2. Any paid Calendly plan.The integration doesn’t work on Free Calendly accounts.

How to create a Calendly account

To create a Calendly account, you need to:

  1. Go to Settings > Integrations and find the Calendly integration by simply writing ‘Calendly’ in the search bar.

  1. In the Calendly widget, click Calendly to create your account.

  1. You will be directed to Calendly’s website. Click Get started to sign up.

  1. Enter your email address and click Sign up, or you can choose to sign up with Google or Microsoft. After that, you just need to fill up your basic information to personalize your experience.

How to connect Calendly to Kommo

Once you have your Calendly account, you can now start to connect it to Kommo. To do that, you’ll need to:

  1. Go to Settings > Integrations and find the Calendly integration by simply writing ‘Calendly’ in the search bar.

  1. Check the box to accept Kommo’s privacy policy and gain access to your account. After that, click Install.

  1. Once installed, click Sign in to connect to your Calendly account.

  1. After authorization is done, you can select the default user as well as the task type. As a result, the lead will come with the setup task and type of task you have chosen. Click Save and you are all done.

  1. Go to Calendar > Ellipsis icon (...) > Sync.

A modal window will open, displaying that Calendly integration is Active and synchronized with Kommo, allowing you to start capturing leads from Calendly automatically.

How to connect multiple users to Calendly

You can use the Calendly integration in Kommo along with your teammates. To do this, you need to:

  1. Go to your Calendly account, and click on the Invite user button. Each free or trial Calendly account is limited to 2 seats, so you can only add 1 other user. To add more seats, you need to upgrade your plan.

  1. Choose the Admin role for your teammate as they need to be an admin so they can use your Calendly integration in Kommo. After that, enter their email and then click Send invite.

  1. Once the invited user registers in Calendly through the invitation, their account will appear in the Users section.

Note: In the Kommo Calendly widget, the new user does not appear yet, as it displays only users that have connected to Kommo.

Matching new users in Kommo

After inviting new users to your Calendly account, you need to match them in Kommo as well. To do this, you need to:

  1. Add the new user to your Kommo account that has connected to Calendly (Main account). Read this article on how to add new users to your Kommo account.
  2. The new user needs to set up and connect the Calendly integration on their Kommo account (Second account). They need to authorize the integration with their own Calendly account.
  3. After that, the new user needs to switch to your Kommo account and open the Calendly widget from the main account. To do this, click the profile picture > profile > and choose the main account.

  1. Go to the Calendar section > Ellipsis icon (...) > Sync. You will then see this option next to Calendly. Click Enable and a modal window will open. Synchronization with Calendly will then take place, and the modal window closes automatically.

  1. A list of users will be displayed in the main account.

Changing your teammate role in Calendly

A new user needs to be an Admin in their Calendly account if you want to add them to the Kommo integration. But after synchronization and adding the new user to Kommo, you can change their role to User if needed. To change the role of your teammate in Calendly, you need to:

  1. Go to your Calendly Home page, and select Admin Center in the bottom left corner.

  1. In the Admin Center, go to the Users section.

  1. Find the user whose role you want to change, select the three-button icon next to their name, and then select Change Role.

  1. Choose Admin. Then, select Apply.

How to use the Calendly integration?

To start using the Calendly integration in Kommo, you need to make an automation in the digital pipeline. To do this, you need to:

  1. Go to the Leads section and click on Automate.

  1. Next, click on Add trigger on your desired lead stage.

  1. Find the Calendly widget and click Add.

  1. You will then need to configure the execution condition for Calendly to start. Click Done and then Save to start the automation.

Whenever someone schedules a meeting with you in your Calendly, a new lead with a task will be automatically created in your Incoming leads stage and Calendar. You can also see it from the Dashboard and Activity Log.

When making an appointment with Calendly, you have the option to set up distributions using the Round Robin algorithm for both individual and group appointments. This algorithm selects a single user from the group to schedule an appointment and assigns them a task in their Calendar section in Kommo.

With the ‘Responsible User’ settings, you can choose who will receive tasks:

  • All users available for appointments in Calendly - in this case, when a task is received by a new user, the responsible person for the lead, contact, or customer will change according to the received task.
  • The user who is responsible for the Lead, contact or client - in this case, only the user who is responsible for the specific lead, contact, or client will be affected.

Use case: Making automatic Calendly links

Let's imagine a client named Jane who has an online business and wants to use Calendly to automate her business meetings. So she used the Digital Pipeline automation to make automatic links for leads from Calendly. This is how she does it:

  1. When she receives a new lead in her pipeline from Calendly, she makes sure their phone number and email are filled out, or she fills them in manually.
  2. She creates a new field for the Calendly link on their lead card by clicking the Setup > Add field. She then chooses URL as the field type and names the field Calendly, she then clicks Save.

  1. After that, she creates automation in her Digital Pipeline by going to Leads > Automate.
  2. She adds a trigger in her Discussion lead stage and adds the Calendly widget in it.
  3. In the execution condition setting, she selects Calendly in the “Add a unique link to the following lead” field. She then sets the execution condition to After moved to this stage and saves the automation.

  1. When she moves a lead card from the Incoming lead stage (which is automatically made when a lead sets a meeting from her Calendly link) to the Discussion stage (where she has set the automation), a link will automatically be created in the Calendly field. This will be directed to the Calendly booking page.

By making an automatic link, she doesn’t have to go back and forth between the Calendly website and Kommo. She just needs to click on the link in the lead card to do the meeting.
